Sandvik Construction is a business area within the Sandvik Group providing solutions for virtually any construction industry application, encompassing such diverse businesses as surface rock quarrying, tunneling, excavation, demolition, road building, recycling and civil engineering. The range of products includes rock tools, drilling rigs, breakers, bulk-materials handling and crushing and screening machinery.

We are looking for an Executive Assistant; you will be based at the head office in Stockholm and report to the President of Sandvik Construction, who is part of the Group Executive Management. The role consists of two main areas: supporting the President and the management team and responsibility for internal communications. The role is a central function and provides an excellent opportunity to be a part of a team establishing the business area in a challenging development phase.

Arbetsbeskrivning / Work Description

Key performance areas
You will be the Executive Assistant to the President and coordinate management team meetings.
You are responsible for all the administrative support to the President and are the main contact person internally and externally. Your primary duties here include:
– Ensuring all daily activities are fully coordinated
– Control of calendar, bookings and e-mail
– Planning and preparation of meetings including agendas and presentations
– Travel reservations, coordination of travel schedule, travel expenses
– Administration of expenses, invoices, databases, time and attendance approvals
– Researching, creating and updating presentations in PowerPoint and Excel
– Filing and archiving, printing and binding of documentation and other material
– Being responsible for correspondence, both internal and external

Your primary duties as part of the management team and as the person responsible for internal communications include:
– Administration and coordination of management team meetings, conferences and global meetings
– Ensuring quality and coordination of agendas and documentation related to the management team
– Taking meeting minutes and ensuring quality and follow-up
– Developing and overseeing internal communications within the business area
– Ensuring that internal communication supports the business strategy as well as follows policies and guidelines for
internal communication
– Managing, encouraging and enhancing the quality of the internal communications activities within the business area
– Coordinating internal information activities and information within the organization
– Working in close cooperation with relevant stakeholders within communications in the business area and the Sandvik   group and participating in relevant networks
– Participating in developing and updating content on the intranet

Din profil / Your profile

Your profile
In order to be successful in this role, you need to have previous experience supporting senior executives in a fast paced, results-oriented environment, combined with experience from internal communications. You have an eye for detail and are customer focused. You have proven multi-tasking abilities and know how to prioritize to ensure that you manage time and resources effectively. You schedule meetings effectively and handle complex meeting and travel arrangements with customers around the globe.

You have excellent verbal and written communication skills in both English and Swedish. You have at least five years of working experience as an Executive Assistant as well as experience from internal communication. You have excellent skills in the Microsoft Office package and preferably Lotus Notes and Adobe Acrobat Professional. Skills in Photoshop, Illustrator and/or InDesign are desirable but not required.

You are accustomed to working with deadlines and are an experienced team player who can also work independently. You are a flexible and hard-working person with a good sense of humor and positive attitude. You easily build trust and respect other people. It is important that you are confident, with integrity and accountability.
